Project Overview
OfficeSpace is a highly complex software with over 300 features to manage workspaces. The employee user side provides a curated list of features that are designed for desktop use, and responsive in mobile devices. Its primary function is to provide visibility into employee features, such as knowing who's in the office, searching for people, places, and resources, browsing the workplace floor plan, making requests, and booking a desk or room. The problem is that these features were not designed for mobile use. It fits the screen and works just fine but it doesn't really feel optimized for a mobile experience.
My Contributions
Last year at OfficeSpace we (the design team) had available time to propose innovative ideas to work on in the future. That project for me was redesigning the mobile app experience and defining the strategy to support employees' activities in a flexible work environment.
The Problem

After the pandemic, the way of working changed. Employees were not ready to go back from fully Remote to on-site. One of the most important business outcomes for the employer is Talent attraction and Retention. They really want the employees back at the office, or at least hybrid. To do that progressively, clients introduce OfficeSpace to their employee's workflow to help them return safely to the office.

We already had the desktop employee-facing tool, but for a seamless experience, we needed a different strategy. That meant making it as easy as possible for employees to go to the office while encouraging collaboration, learning, and a healthy work environment. Being mobile the most universal and accessible device for any user, it felt like a left-behind piece.

• Understanding the user's needs, was challenging. OfficeSpace has hundreds of clients in different industries, and we don’t have information on their employee demographics. So for this project, we gathered everything we knew about them.
Having only one user persona seemed too little for such a big target population.

Scheduled a discovery workshop to get feedback early in the process.  The purpose of this workshop was to start a discussion about gaps in our mobile product and come up with many ideas for how can we improve the experience for our users. The expected outcome, was to come up with an initial path and next steps that could help us understand where to start and create an action plan.

During the ideation phase, I put together the content architecture and drafted some flows and ideas that were worth pursuing. I created some high-fidelity screens and then share the initiative with the stakeholders.
